Sometimes you may need to share files with people outside your organization but restrict them from making any changes to them. Office applications like Excel support Protected View that restricts users to a read-only mode where most editing functions are disabled. Similarly, Microsoft Teams offers a way to share files securely with clients outside your organization. Here’s how you can share a protected file in Microsoft Teams.

1. Open the File in Microsoft Teams.
2. Click the File tab.
3. Select Share > Share with people.
4. On the List setting pop-up window, hit the drop-down button for the Specific People link.
5. Choose the Specific people option.
6. Enter the client’s email address.
7. Uncheck Allow editing option and enable Block download.
8. Hit the Apply button.
9. Copy the link and share it with the client in a separate window.

Launch the Microsoft Teams app on your computer.

Choose the Files tab and select a file you would like to share with your client.

When the file opens, click the File tab and scroll down to the Share option in the left panel.

Next, choose the Share with people tile to invite other people to view or edit the document.

On the List setting pop-up window that appears on your computer screen, hit the drop-down button next to go to the Specific people option.

Enter the name or the email ID of the person, uncheck the box next to Allow editing, and enable the Block download option.

When done, hit the Apply button at the bottom of the screen.

Now, simply hit the Copy button to copy the link and share it with the client in a separate email or chat conversation.
