In this method, I will explain how to fit an Excel sheet on one page PDF using the Page Setup feature.
Let’s see the steps.
Step-01: Checking If It Fits on One Page
In this step, I will show you how you can check if an Excel sheet fits on one page PDF.
- Firstly, go to the File tab from the Ribbon.
- Secondly, select the Print option.
Now, in the Print Preview, you will be able to see how many pages it will take. Here, we can see that my dataset will take 2 pages.
Finally, click the back option to go back to your worksheet. So that, you can perform further operations.
Step-02: Fitting Excel Sheet on One Page
In this step, I will show you how you can fit an Excel sheet into one page PDF.
- Firstly, go to the Page Layout tab.
- Secondly, select the dialog box option from Page Setup.
Now, you will see the dialog box named Page Setup.
- Thirdly, select Fit to 1 page(s) and wide by 1 tall.
- After that, select Print Preview.
Here, in the preview, you can see that the dataset fits in one page PDF.
- Now, select Microsoft print to PDF from Printer.
- After that, select Print to save your Excel sheet as a PDF.
Now, a dialog box named Save Print Output as will appear.
- Firstly, type the File name as you want.
- Secondly, select Save.
Here, in the following image, you can see my final PDF opened in my PDF viewer. I have included a zoomed image here for a better view but in the bar, you can clearly see that it is a one page PDF.

2. Employing Page Break Preview Feature
In this method, I will show you how to fit an Excel sheet on one page PDF using Page Break Preview.
Let’s see the steps.
Steps:
- Firstly, go to the View tab.
- Secondly, select Page Break Preview.
Now, you will see the Page Break Preview. Here, you will be able to see how many pages your PDF will take.
- After that, select and drag the Page Border to the border of your dataset to fit it in one page PDF.
Now, in the following image, you can see that my whole dataset fits on Page 1.
- Next, go to the Print Preview. Here, you will see the PDF will take 1 page.
- After that, select Microsoft print to PDF from Printer.
- Finally, select Print to save your Excel sheet as a PDF.
Here, follow the procedure from Step-02 of Method-1 to save the PDF.

3. Changing Scaling to Fit Excel Sheet on One Page PDF
In this method, I will explain how to fit Excel Sheet on one page PDF by changing the Scaling.
Let’s see the steps.
Steps:
- Firstly, check the Print Preview by following the procedure of Step-01 from Method-1. Here, you can see that the PDF will take 2 pages.
Now, go back to your worksheet to do further operations.
- Firstly, go to the File tab.
- Secondly, select Print.
- Thirdly, select the Scaling option from Settings.
Here, you will see a drop-down menu.
- Next, select Fit Sheet on One Page.
Now, in the Print Preview, you will see that the PDF fits on one page.
- After that, select Microsoft print to PDF from Printer.
- Finally, select Print to save your Excel sheet as a PDF.

In this method, I will explain how to fit Excel sheet on one page PDF by adjusting column width or row height. To explain this method I will use the following dataset.
Let’s see the steps.
Steps:
- Firstly, check the Print Preview by following the procedure of Step-01 from Method-1. Here, you can see that the PDF will take 2 pages.
Now, go back to your worksheet to do further operations.
- After that, adjust the column width as you need. Here, in the following image, you can see that I have changed my column width according to my need.
- Next, go to the print preview. Here, you will see the PDF will take 1 page.
- After that, select Microsoft print to PDF from Printer.
- Finally, select Print to save your Excel sheet as a PDF.

Let’s see the steps.

7. Changing the Page Margins to Fit Excel Sheet on One Page PDF
In this method, I will explain how to fit Excel sheet on one page PDF by changing the Page Margins. To explain this example I have taken the following dataset.
Let’s see the steps.
Steps:
- Firstly, check the Print Preview by following the procedure of Step-01 from Method-1. Here, you can see that the PDF will take 2 pages.
Now, go back to your worksheet to do further operations.
- Here, go to Page Layout tab.
- After that, select Margins.
Here, a drop-down menu will appear.
- Now, select Custom Margins from the drop-down menu.
Now, a dialog box will appear.
- After that, set the Margins as you want. Here, I selected all the Margins as 0.
- Finally, select Print Preview.
Now, in the Print Preview you will see that the PDF fits on one page.
- After that, select Microsoft print to PDF from Printer.
- Finally, select Print to save your Excel sheet as a PDF.
Here, follow the procedure from Step-02 of Method-1 to save the PDF.

8. Hiding Row/Column to Fit Excel Sheet on One Page PDF
In this method, I will explain how to fit Excel sheet on one page PDF by hiding row/column.
Let’s see the steps.
Steps:
- Firstly, check the Print Preview by following the procedure of Step-01 from Method-1. Here, you can see that the PDF will take 2 pages.
Now, go back to your worksheet to do further operations. In my dataset, History, Statistics, and Art are optional subjects. I do not need these columns on my PDF. I also do not need the Total column. So, I will hide these columns. Let’s see how you can hide columns in Excel.
- Firstly, Right-click on the column that you want to hide.
- Secondly, select Hide.
Here, in the following image, you can see that I have hidden column H which was the History column in my dataset.
- Now, in the same way, hide all the columns that you don’t need. Here, I have hidden columns H to K.
- Next, go to the print preview. Here, you will see the PDF will take 1 page.
- After that, select Microsoft print to PDF from Printer.
- Finally, select Print to save your Excel sheet as a PDF.
Now, follow the procedure from Step-02 of Method-1 to save the PDF.

How to Fit Only Selected Data from an Excel Sheet on PDF
In this method, I will explain how to fit selected data from an Excel sheet into PDF.
Let’s see the steps.
Steps:
- Firstly, select the data that you want to make a PDF of.
- Secondly, go to the File tab.
- Thirdly, select Print.
- After that, click on the marked drop-down option.
Now, you will see a drop-down menu will appear.
- Next, select Print Selection from the drop-down menu.
- After that, select Microsoft print to PDF from Printer.
- Finally, select Print to save your Excel sheet as a PDF.
Here, follow the procedure from Step-02 of Method-1 to save the PDF.
